REQUEST FOR QUOTE (RFQ) FOR HOTEL, EVENT CENTRE AND CATERING SERVICES

BACKGROUND
Jhpiego Corporation, an affiliate of John Hopkins University, is an international non-profit, nongovernmental organization that works to improve the health of women and family throughout the world. Jhpiego Nigeria and its project sites seeks hospitality service relationship with its pre-qualified vendors and any other reputable and interested hotel and conference/event service providers in the following States including local government areas Lagos, Abuja, Ondo, Cross Rivers, Niger, Nassarawa, Ebonyi, Akwa lbom, Enugu, River, Kano, Sokoto, Bauchi, Kebbi, Borno, Yobe, Bayelsa, Oyo and Adamawa, Taraba, Abia, and Gombe State.

Vendors should provide most competitive fixed rates (NGO flat rates) for their services that will be valid for the next 12 months from the date of commitment. Vendors are encouraged to read the entire document to ensure that they have a clear understanding of Jhpiego requirements before submitting a bid.

1.1 DESCRIPTION OF SERVICE:
LOT1- HOTEL SERVICES

  • Room rates (Bed and breakfast only)
  • Tea break
  • Buffet Lunch
  • Plated Lunch
  • Packed lunch (take away)
  • Meeting/Conference hall rate (Please quote for different hall capacities)
  • Service charge (Please indicate clearly what this percentagecovers)
  • List all other amenities as regards the hotel and facilities available (eg. internet services, business center, securitv. pool,gymetc:)

LOT 2- EVENT CENTRE

  • Halls or tents (the types with reinforcements and break out rooms), Quote separately for small, medium, large and extra-large halls or tents, which should include capacity for each option.
  • Public Address system
  • Tea break
  • Buffet Lunch
  • Plated Lunch
  • Packed lunch (take away)

LOT 3- CATERING SERVICES (AFRICAN AND CONTINENTAL), QUOTES ARE EXPECTED FOR ALL AVAILABLE MENU

  • Tea break
  • Buffet Lunch
  • Plated Lunch
  • Packed lunch (take away)

2.1 QUOTATION SHOULD INCLUDE THE FOLLOWING;

  • Proof or license to offer required services as given by the responsible regulatory body (if applicable),
  • Quote must be valid for the minimum of 12 months.
  • The quotation should be enclosed in a plain sealed envelope, with the item being quoted for written boldly on the right-hand side of the envelope.
  • Payment terms if different (preferably Net 30).

3.1 ELIGIBILITY
All applicants should provide the following:

  • Certificate of registration/incorporation, memorandum and articles of association and valid Tax identification Number (TIN).
  • Vendor must be a licensed/authorized vendor for services to be rendered (please provide supporting documentation).
  • Company profile (briefly retlecting the core competencies, key management personnel and clearly stating the physical verifiable office address, mobile number and e-mail address).
  • Minimum of three (3) reputable references active within the last three years’ form clients/organizations
  • Note that applicable government taxes will be deducted prior to making payments for services provided.

5.1 COMMUNICATION:

  • Quotes should be submitted in hardcopy (NOT by email otherwise bid will be disqualified)
  • Ensure you drop your quote in the bid box at the reception
  • All vendors must sign the bid worksheet at the reception in order to be considered

6.1 CLOSING DATE
The closing date for the submission of bids is at 4pm WAT an 6th May, 2021
